SIGD Executive Assistant Job Openings in Sechelt,

Under the general supervision of the SIGD Administrator, the SIGD Executive Assistant will provide support to the SIGD Administrator as required. These tasks include, but not limited to, attending SIGD and Advisory Council meetings including preparing agendas, minutes, reports and distribution of associated information. Moreover, this positon relies heavily on project management support (task management) by using various computer systems and applications to input, track and update various tasks. The main goal of this position is to ensure everyone is provided with administrative support to operate effectively and efficiently within the department. The ability to take the initiative and maintain confidentiality is necessary to succeed in this role; along with the ability to manage multiple and conflicting priorities.
The Candidate:

  • Work with SIGD Administrator to review SIGD laws and recommend updating as necessary to keep current and to meet Council objectives; obtain legal advice as required for revisions.
  • Conduct and oversee SIGD Advisory Council elections in accordance with the requirements of the Local Government Act.
  • Attend Department Director, Council, and other SIB meetings as requested by SIGD Administrator to provide information.
  • Maintain a department calendar to track and coordinate meetings, work demands and critical dates/deadlines.
  • Assist the SIGD Administrator in preparing RFPs and contracts for services provided to SIGD.
  • Represent the interests of SIGD by attending meetings such as Sewer Commission, Local Government meetings, UBCM, AVICC, etc. as required and requested.
  • Attend SIGD Advisory Council meeting, support Advisory Council by providing information and following up on issues as requested.

Qualifications, Skills and Abilities:
  • Administration, Legal Assistant or Business Administration Certificate or equivalent; Diploma preferred.
  • Certification in Local Government Administration or equivalent work experience preferred.
  • Two (2) years’ executive assistant experience in supporting management and teams preferably within a First Nations environment.
  • Experience working with various office systems and equipment.
  • Experience working with Aboriginal people, organizations and communities.
  • A minimum typing and transcribing speed of at least 40 wpm.
