Property Administrator Job Openings in Woodbridge

Accounts Receivable

  • Create chargeback invoice to tenants using the back up provided
  • Send chargeback invoice to the tenant along with backup
  • Prepare year end reconciliation letters, send for approval, once approved send out to the tenants with the required back up
  • Apply receipts to tenant accounts for rent payments, cheques, PAD’s & EFT’s
  • Prepare daily bank deposits as required
  • Update A/R report on the 2nd of each month
  • Call tenants on the 2nd of each month
  • Send email to any tenant that could not be reached by phone
  • Revise A/R report to show what transpired during phone/email attempts
  • Inform Operators of any cheque pick ups required
  • Send A/R report to PM’s for escalation of rent calls/emails
  • Collect year end reconciliations payments from Tenant’s
  • Prepare all rent schedules (for the next calendar year), send for approval once approved send to tenants
  • Complete tenant statements of accounts and reconcile tenant accounts when required
  • Notify tenants of NSF payments
  • Send notice to tenants for NSF fees, late fees as applicable and approved by Senior Management
  • Prepare late rent notices, demand letters and default notices as required (must be approved by Joseph – prior to preparing)
  • Provide analytical and administrative support to the PM’s

Leasing

  • Update lease maturities list
  • Create possession letters, Key Release forms for all new Tenant’s
  • Create tenant Input sheet and tenant contact information for PM’s to review
  • File lease documents in file folders, scan into shared drive and into Paperless

Construction/Contracts/Maintenance

  • Prepare construction notices to tenant’s
  • Prepare contracts, award letters to contractors and send out contracts for contractor signature
  • Scan documents into shared drive and into paperless and file executed copy
  • Prepare and update property contract summary as needed
  • Order janitorial supplies for office tower

Properties

  • Maintain meter readings spreadsheet – for chargebacks
  • Update building audit folders and files– keep audit information updated (sprinkler, HVAC information/bldg. Specifics)
  • Prepare notices to the tenants for the Annual fire alarm training for all tenants as per Fire Code.
  • Prepare notices to tenants for road closures, inspections etc.

Tenants

  • Ensure excellent tenant relations and customer service
  • Prepare and send out a tenant request form that can be emailed and tracked to maintain tenant satisfaction
  • Reply to tenant phone calls, emails in a timely manner
  • Ensure all Tenant & building files are maintained.
  • Scan tenant correspondence into the shared drive and into paperless
  • Ensure communications, letters, and notices are sent out to the Tenants
  • Prepare, maintain and send tenant manuals and welcome letters
  • Update tenant information – contacts, phone numbers etc.
  • Prepare letters to tenants regarding their restoration requirements
  • Maintain and update the access control system at office tower (if required)
  • Prepare notices to tenants of violations, deficiencies noted in PM/BO tour of tenant space
  • Meet and Greet a few tenants each year with PM
  • Monitor utility accounts and premises meters, coordinate transfer of same to occupying tenants and assume meters upon vacating of tenants

Provide support as needed and/or required to PM’s, BO’s, Construction Team, Accounting, etc.
