Summary

It is the responsibility of the RCCC Lead to support the supervisor in coordinating the flow of product through all the department stations, ensuring that there is correct prioritization, teamwork and sense of urgency. The Senior RCCC Lead will learn all tasks and rotate through all tasks with the rest of the team, while working with other members of the leadership team to create efficiencies within the department and listen to ideas, concerns and suggestions from the team.

During the supervisor’s absence, the Winnipeg team will report to the RCCC lead. The RCCC lead will be responsible for the day to day decision making, supporting the team, handling concerns and issues as they arise.

The RCCC Lead is responsible for helping to train new and current employees in the latest skill sets required. They may be required to assist in scheduling during the absence of the Supervisor. They handle external and internal customer inquiries and concerns with the highest degree of patience, courtesy and professionalism. Positive intention and positive language are used to communicate effectively with our broad range of customers and to be a role model for the whole team.

Major Duties and Responsibilities: To oversee and assist the team to properly perform the following;

CUSTOMER CARE

  • Handle incoming customer calls with knowledge, respect and efficiency. (order taking, work in process or other questions)
  • Understands and utilizes all methods of job tracking or late job follow up and communicates as required.
  • Good working knowledge of DVI screens; competently processes all types of order entry, redo, and credits, add notes, cancel orders, tray change, account changes, etc
  • Understands when jobs require a call to be placed to accounts and communicates the message clearly and comfortably
  • Able to identify in house vs. outsource lab orders, and transmits accordingly
  • Trouble shoots basic problems (cut out issues, coating incompatibility, thickness or base curve requirements)
  • Identify urgent or problem jobs and make appropriate communications, verbally and/or electronically, and/or using standardized stickers or forms.
  • When necessary, use web access links to look up incoming or delayed shipments from outsource labs, in order to plan workflow.
  • Runs and manages production reports as required
  • Review incoming workload throughout the day and oversee that team is prioritizing and feeding product thru production consistently and timely.
  • Participation in some outbound marketing calls from time to time, based on structure and plan from Marketing and Management·

SHIPPING/RECEIVING AND LAB OPERATIONS

Support/Oversee/Assist with;

  • Quality eyewear through utilizing the Quality guidelines: inspecting frame, customer order, DVI work ticket and special instructions, tracing a frame/ pattern, accurately measure frame dimensions, post trace DVI reprocessing, shape modification, complete order verification, tracer set up and calibration per Hoya guidelines
  • Orders are blocked, edged, mounted and inspected according to certification guidelines and company best practices.
  • All quality concerns are addressed immediately and effectively, with additional training provided where needed
  • Perform preventative maintenance and cleaning of lab equipment according to company standards
  • All equipment repairs are reported immediately, and corrective actions taken without delay
  • Consumables and other supplies for all departments are kept in stock and replenished on a regular basis

MAINTENANCE AND SAFETY

  • Takes pride in the appearance of the facility and shows initiative in keeping the lab and surrounding areas clean, organized and safe.
  • Complies with all safety/regulatory requirements ensuring supplies/chemicals are stored and used per chemical safety program. Keeps management informed of potential safety opportunities (i.e. broken tiles, equipment, etc.)
  • Demonstrates safe work practices.

RELEVENT SKILLS AND EXPERIENCE

  • Optical background is required
  • Experience as a licensed dispenser or Optometric Assistant is ideal
  • Technical background is ideal
  • Critical thinker
  • Organizational Skills
  • Leadership experience
  • Can successfully handle day to day pressure and stress
  • Strong communicator and listener to other departments and employees
  • Strong inter‑personal skills (friendly, caring, patient)
  • Knowledge of HOYA products
  • Customer Service or sales background essential
  • Data entry, email and other computer related skills required
