Administrative Assistant/Receptionist Job Opening in Greater Sudbury

We are a growing organization and looking for an Administrative Assistant/Receptionist to join our team.

Position Summary

The Administrative Assistant/Receptionist is responsible for client reception, providing administrative, accounting and secretarial support, and maintains the filing system. Also, the successful candidate will be responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.

Key Responsibilities

  • Prepare, organize, and schedule meetings
  • Use computer word processing, spreadsheet and database software to prepare reports, memorandums, misc. documents
  • Maintain the filing, storage and security of confidential documents
  • Arrange for the repair and maintenance of computer and office equipment
  • Assist with the preparation of contract documents
  • Co-ordinate office admin procedures
  • Review, evaluate and implement new procedures under direction
  • Establish personal work priorities and ensure deadlines are met
  • Ensure compliance with privacy legislation
  • Process incoming and outgoing mail, manually or electronically; following up to ensure receipt
  • Maintain client/supplier contact database and ensure all client information is up to date in the software program
  • Photocopy and collate documents for distribution, mailing and filing
  • Shred documents that require shredding and empty/maintain shredder
  • Answering the telephone calls and directing the call to the appropriate personnel
  • Greet people coming into the office, directing them to the appropriate contacts, and provide information in person and by phone
  • Accept and sign for deliveries
  • Send and receive messages and documents using fax machine or electronic mail
  • Create client invoicing including monthly billing for the Janitorial division
  • Input Vendor invoices into payables
  • Balance accounts payable / accounts receivable
  • Reconcile Vendor Statements
  • Issue payment to Vendors via cheque, EFT, Visa
  • Follow-up on collections of accounts
  • Assist in the completion of the payroll for the Janitorial division
  • Performs miscellaneous job-related duties as required

Qualifications

  • 2+ years of experience working in an administrative position
  • Strong computer skills, able to learn new programs with ease
  • Typing speed of 40+ wpm accurately
  • Strong administrative and clerical skills
  • Strong customer service skills
  • Ability to adapt in a changing environment
  • Able to work in constantly changing environment and prioritize tasks
  • Knowledge of computerized accounting programs (SAGE)
  • Knowledge of payroll systems and reporting

Salary: $17.00 to $20.00 /hour
