POSITION : Real Estate Administrative Assistant

Supervisory/Management

  • Oversee the inputting of all leads into the database management system (generated via cold calls, Sign calls, referrals, etc.)
  • Distribute all leads to agents as applicable
  • Monitor and manage Sales Agents lead follow up on contact management system. Redistribute leads that are not followed up within the required time frame
  • Monitor and manage Sales agents day timers regarding Listing and Buyer appointments. Ensure notes are being added within 24 hours and follow up is being scheduled and performed where necessary.
  • Monitor that all paperwork pertaining to listings, buyer contracts, sales and purchases are executed and handed in a timely fashion
  • Oversee the VIP Buyer Program (House Hunting Service) – leads are being followed up with at a minimum of every 30 days
  • Track advertising responses and prepare a weekly report for team leader
  • Review problems/issues/exception reports with staff
  • Recruit, hire and train new team members
  • Collect and approve time sheets from Inside Sales and Team courier
  • Handle client concerns/complaints
  • Attend all Monday morning meetings

Administrative

  • Assist with the day-to-day operations
  • Open, review and distribute mail accordingly
  • Provide Team Leader with daily reading material and highlight significant issues that require prompt attention
  • Monitor/negotiate any expenditure on behalf of the office (e.g. couriers, furniture, computers, office supplies, etc.)
  • Assist with incoming telephone calls and general office duties – must be cross-trained on essential administrative duties

Oversee the Following Operations

  • Assist Team Leader with determining annual budget
  • Review all Accounts Payable and approve invoices for payment
  • Review all Accounts Receivable
  • Approve any miscellaneous office expenditures
  • Implement budget controls on expenses
  • Meet with Team Leader regularly to discuss financial and staff issues
  • Review distribution of marketing materials (flyers, postcards, newsletters, etc.) to ensure coverage of areas and distribution prices
  • Screen all sales/charity/sponsorship requests and provide Team Leader with synopsis

Overall Responsibility

  • To act as “office quarterback” by being fully knowledgeable about all details of all listings
  • To provide technical support for all Team members, manage the database system and oversee/execute all prospect/client communications
  • To manage the in/outflow of cash, and report long and short-term analyses to enable management to make appropriate decisions affecting the health, profitability and direction of the company

Specific Duties

  • Receive incoming calls
  • Screen/intercept advertisers/individuals looking for sponsorships etc. and direct them accordingly.
  • Intercept calls and provide assistance to those who require it (eg. Sellers, buyers, agents, etc)
  • Cold Calling by using databases and farming area contacts.
  • Assisting with open house when required.
  • Planning and Organizing client appreciation events.
  • Planning and organizing evening seminars and assisting with execution on the day of events such as registration, greeting, etc.
  • Take Quick-Over-the-Phone Home evaluations
  • Enter all leads paged to agents into contact management system and schedule follow with agent for Office Manager
  • Book listing appointments, always filling out Qualifying Questions form
  • Open file for each listing and buyer – include contracts, feature sheets, photos etc.
  • Enter listing into contact management system with as much detail as possible and launch listing plan
  • Input listings onto MLS System
  • Order For Sale sign and appropriate riders
  • Load any price changes/extensions onto MLS System
  • Update contact management system with details of all offers
  • Enter sales in sales log
  • Update Listed/Sold board in boardroom
  • Launch Conditional or After Sale Plan in contact management system
  • Enter all canceled/expired listings into contact management system and launch plan
  • Load property ads online
  • Load property ads on newspaper site
  • Check commission splits and Inside Sales percentages for accuracy  Organize Team Couriers schedule for each day
  • Follow up daily with all agents who have shown our listings in order to gather feedback
  • Enter all showing data into the contact management system
  • Follow up weekly via telephone with all our sellers to give them feedback from showings and to update them on any change in market conditions
  • Prepare monthly listing feedback reports for agents
  • Prepare CMA’s (comparable market analysis) for any recommended price reductions
  • Assist sales team in the evenings when necessary
  • Update agents weekly on any areas of concern that sellers may have (i.e. reductions, extensions, issues, etc)
  • Schedule and confirm appointments with sellers for all Tour of Homes, one month in advance
  • Prepare monthly schedule for Tour of Homes, identifying which agents will conduct each tour
  • Obtain client testimonials (including a photo) and forward to Rainmaker for inclusion in advertising
  • Launch Market Watch Newsletter for all past clients who are remaining within our real estate trading area
  • Generate property inventory list
  • Prepare advertising summary for listings
  • Write and record all hotline scripts
  • Attend weekly Monday morning meetings

Administrative:

  • Prepare CMA printouts for all agents to fulfill Quick Over-the-Phone Evaluations
  • Run feature sheets
  • Prepare client correspondence for agents as requested
  • Forward all emails accordingly
  • Answering phones and taking messages

Database Management:

  • Check expireds daily and input onto contact management system
  • Check hot sheets daily for anyone who is in database and has just listed with another company (launch “Hot Sheet Plan”)
  • Retrieve messages from hotline/website – cross reference each call for an address; input leads into database management system; place leads on Office Manager’s daytimer for distribution

Prospect/Client Communication:

  • Mail and email form letters (e.g. 30-day letter, expiry letter, etc)
  • Email and mail special report requests, lists of homes requests, etc.
  • Prepare and execute newsletter mailings
  • Prepare paperwork for the distribution for all flyers
  • Coordinate and execute the VIP Buyer Profile system including: adding/deleting clients, updating Outside Sales/Inside Sales on any changes received from clients, cleanse list periodically

Technical Support:

  • Program database to back up nightly and test periodically
  • Troubleshoot for operation of computers, printers, photocopiers, etc.
  • Install and update software on team members’ computers

General:

  • Post all transactions (listed and solds) on a timely basis on the computer system
  • File all accounting records, paid bills, invoices etc in file cabinets
  • Update fire/theft insurance periodically taking into consideration any new purchase (i.e. computer systems, furniture, etc.)
  • Balance petty cash as required
  • Keep track of all trade program expenses

Banking/Reporting:

  • Prepare deposits as required
  • Reconcile bank accounts at month end
  • Track cash flow and ensure that there are adequate funds to cover payments that are due
  • Design and prepare any spreadsheets as required such as yearly expenses vs revenue
  • Prepare weekly balance sheets, income statement, cash positions etc. for meetings
  • Provide a monthly detailed breakdown of payables
  • Meet to review the previous month’s finances
  • Prepare all year end documents and submit to accountant for tax preparation

Payroll:

  • Ensure that all government remittances, Payroll, Personal Income Tax Instalments are all prepared on time
  • Prepare payroll and direct deposit checks

AP/AR:

  • Check invoices and issue checks to suppliers (after receiving authorization from Office Manager)
  • Track accounts payable so bills are paid within necessary time period
  • Keep track, collect and deposit monies monthly from outside sources re: the Market Watch newsletter
  • Post receivables from the trade records weekly and track the agents’ commission.
  • Keep track of monthly commission receivables and ensure cheques are received for the proper amount when due

Duties

  • Take photos of all listings
  • Install lockboxes, inform appointment desk of lockbox codes and input information onto contact card in database management system
  • Pick up sold riders from sign company
  • Remove lockboxes and install sold riders
  • Install Tour of Homes signs
  • Deliver feature sheets to sellers
  • Drop off and pick up price reductions and extension forms
  • Drop off keys to sellers when listing is sold/expired/off market
  • Drop off courtesy keys
  • Pick up commission cheques from lawyer’s office
  • Take deposits to bank
  • Deliver any mail to post office
  • Deliver flyers, newsletters to post office/mailing house
  • Photocopying as required
  • Perform other duties as required.

Job Types: Full-time, Permanent

Salary: $35,000.00-$40,000.00 per year

Additional pay:

  • Bonus pay

Schedule:

  • 8 hour shift
  • Monday to Friday
