On-Call Receptionist Job Openings in Vernon

PURPOSE AND KEY FOCUS
The On-Call Receptionist is responsible for providing coverage for reception vacancies by supporting the department Director and the department staff. Such support will entail reception, secretarial, clerical and administrative duties in order to provide services in an effective and efficient manner.

JOB SUMMARY
The On-Call Receptionist may be called within short notice to cover the reception duties in any of the Band’s departments. The Receptionist position is responsible for responding to inquiries from callers, visitors and staff, and directing them appropriately. Reception duties includes secretarial, clerical and administrative tasks as required.

REPORTING STRUCTURE
Reports to the Department Director

JOB DUTIES AND RESPONSIBILITIES

  • Provide office support services at the assigned OKIB department
  • Greet, assist and/or direct visitors and the general public to the appropriate staff member
  • Receive, direct and relay telephone, email and fax messages
  • Process incoming and outgoing mail
  • Open and date stamp all general correspondence
  • Schedule appointments
  • Coordinate meetings
  • Book boardrooms for meetings
  • Respond to public inquiries
  • Provide word-processing and secretarial support
  • All persons employed by the Okanagan Indian Band may be required to assist the Band in providing emergency services. Duties assigned during an emergency may differ from regular duties
  • Participates in community events as requested

ADMINISTRATIVE DUTIES

  • Assist the department Director as requested
  • Liaise with other OKIB staff and membership
  • Attends meetings when required
  • Performs all duties and responsibilities in accordance with the OKIB policies and procedures
  • Perform other duties as required

QUALIFICATIONS
Education

  • Grade 12 or equivalent
  • Office Administration Certificate preferred
  • An equivalent combination of education and experience may be considered

Experience

  • Office administrative support experience
  • Intermediate knowledge of Microsoft Office Suite
  • Experience working with confidential information
  • Experience working with First Nations communities

WORKING CONDITIONS
Physical Demands

  • The Receptionist will have to spend long hours sitting and using office equipment and computers, which can cause muscle strain. The Receptionist may also have to do some light lifting of supplies and materials from time to time.

Environmental Conditions

  • The Band Office may be a busy facility. The Receptionist may have to manage a number of people at one time, and may be interrupted frequently to meet the needs and requests of staff and guests. The Receptionist may find the environment to be busy, noisy and will need excellent organizational, time and stress management skills to complete the required tasks.

Sensory Demands

  • Sensory demands include use of the computer, which may cause eyestrain and headaches.

Mental Demands

  • The Receptionist will have to manage a number of requests and situations at one time. Stress may be caused by the need to complete tasks within tight deadlines. At times the receptionist may encounter irate and/or intoxicated individuals.
