Job Description:

Working as a member of the Academic Development team, the Administrative Assistant is accountable for contributing to the effective operations of the department through the provision of effective administrative support. The incumbent is the first point of contact in the Department and proactively administers the office work cycles and anticipates the needs of the Dean, Academic Development.

Administrative and communications support is also provided to the Executive Director, Academic Operations and Planning, as well as the other managers in the Academic Development department. Various cross-college committees are also supported by the incumbent. Responsibilities include providing a wide variety of administrative and executive support to the Academic Development team.

Required Qualifications

  • Two (2) year diploma or equivalent, preferably in Office Administration
  • Preference will be given to candidates with at least five (5) years of relevant administrative assistant experience; three (3) years of which should be at an executive level. Candidate must have demonstrated working progressively independently in responsible positions, some of which should be at a post-secondary organization
  • Excellent interpersonal skills
  • Strong analytical and problem-solving skills
  • Well-developed verbal and writing skills to effectively communicate with staff
  • Highly developed minute taking, writing and publishing skills with attention to detail
  • Very effective organization and time management skills; ability to multi-task and prioritize
  • Good knowledge of College programs, academic, administrative and organizational structures including college decision making processes
  • Proven team player
  • Advanced proficiency with Adaptive Insights and Workday, MS Office software including Outlook, Word, Excel, Teams, Sharepoint and PowerPoint. Some knowledge of Word Press, Visio, Access and Project would be an asset.
  • A working knowledge of typical legacy information systems used in large educational organizations is preferred (Human Resources, Communications, Student Information/Records, etc.).
