100% TEMPORARY BOARD OFFICE RECEPTIONIST

Rate of Pay: $21.84 - $25.42/hour

Hour of Work: 35 hours per week

8:24 a.m. to 4:30 p.m. Monday to Thursday

8:24 a.m. to 4:00 p.m. Friday

Effective: Monday, October 19, 2020

18 Month Contract

(This position works over the summer period)

As the first point of contact for the Wellington Catholic District School Board, this position represents the Board in a positive, professional manner both in person and on the telephone. Using excellent telephone etiquette and strong communication and public relations skills, the Receptionist is knowledgeable about the entire Catholic School system and its operations, including Board policies and procedures. In addition to reception duties, this position provides general clerical assistance to Catholic Education Centre departments.

RESPONSIBILITIES AND DUTIES:

The Incumbent will be required to:

· Provide reception support including managing the main switchboard with screening and directing telephone calls, handling messages, greeting and providing assistance to visitors, responding to general enquiries including disseminating basic information and providing related procedural assistance

· Act as first point of contact for IT Help Desk inquiries

· Use initiative and discretion to assist visitors to the Catholic Education Centre in a professional manner

· Sorting and distributing incoming and outgoing mail, as well as courier services

· Provide clerical support to the Catholic Education Centre departments such as general office support i.e. word processing, filing, ordering of supplies, photocopying, scheduling appointments, booking meeting rooms and data entry

· Back-up to absence management system (Smart Find Express) during absences and/or peak times

· Other related duties as assigned

SKILLS:

The Incumbent must have:

  • Demonstrated excellent interpersonal and communication skills, both written and verbal, with parents, staff, students and external contacts
  • Proven ability to compose routine correspondence with strong attention to detail
  • Strong organizational, time management and prioritization skills
  • Demonstrated ability to work independently as well as part of a professional team
  • Sound judgment, excellent analytical and problem solving skills, tact and diplomacy
  • The ability to divert attention from one task to another in order to meet deadlines
  • The ability to maintain strict confidentiality
  • Excellent word processing, typing and data entry skills with proven accuracy

EDUCATION & EXPERIENCE:

· Must have a Secondary School Diploma and some Community College courses in Office/Business Administration

· Experience with related computer programs in Microsoft Office, Internal Board Programs including student information systems (PowerSchool) and Smart Find Express

· Must have at least 6 months of previous related experience
