Overview
The Administrative Coordinator, Medicine Health Services is responsible for the overall coordination of several functions to support the Director, the Medicine program and other services within the Director’s portfolio. Reporting to the Program Director, the Administrative Coordinator is the key support person for the Program Director and the Medicine program, assisting with enquiries and problem solving issues with internal and external contacts on a daily basis. The incumbent provides administrative assistance to physician leaders in Medicine In addition, the incumbent is responsible for organizing and supporting departmental meetings and events, coordinating special projects, completing the payroll for Medicine Leadership, supporting human resources processes such as recruitment and attendance management, ordering supplies / equipment for the program and updating the departmental intranet and internet. The Administrative Coordinator will provide programmatic support as required including coordination of OTN appointments.
Education

  • Post-Secondary in Office Administration or equivalent required.
  • Undergraduate degree preferred.
Qualifications
  • 5 years of recent relevant experience (within a healthcare environment) in an administrative role with evidence of progression in the areas of project management and leadership skills required.
  • Demonstrated ability to work flexible hours to accommodate departmental operational needs required.
  • Proven customer service orientation; must be friendly, and demonstrate professionalism at all times.
  • Proven organizational skills are required with the ability to juggle multiple priorities, manage time wisely, work well independently and track progress of initiatives.
  • Demonstrated accountability including collaborative problem solving, effective decision making and sound critical thinking skills required.
  • Proven ability to develop and maintain relationships with internal and external partners and to work effectively in a team based environment required.
  • Demonstrated excellent interpersonal skills with ability to identify and handle emotionally charged or politically sensitive issues appropriately, required.
  • Excellent effective written and verbal communication skills including proficiency in preparing agendas, taking minutes, drafting written correspondence, and designing organizing systems is required.
  • Demonstrated computer literacy, proficient in all programs in Microsoft Office is required; website management is an asset.
  • Typing speed of at least 50 WPM required.
  • Demonstrated proficiency with the ANSOS Payroll System and the SRM ordering system preferred.
  • Demonstrated ability to participate in quality initiatives including collection, analyzing and presentation of data required.
  • Knowledge of adult learning principles and program delivery is an asset.
