The opportunity: The Property Administrator will support a portfolio of retail properties. We are looking for someone who has strong commitment and dedication in providing accurate and timely administrative support and customer service to our clients within a fast paced office environment.

What you will do:

  • Produce monthly Financial Statements according to GAAP or as specified by client Update and maintain Tenant Lease Information, prepare initial rental advise notices and cover letter to tenants
  • Reconcile monthly rent roll, create invoices as necessary to reflect changes in Tenant’s rental charges.
  • Verify year end Tenant Tax and CAM recovery information for year-end reconciliation
  • Generate miscellaneous invoices (tenant chargeback’s and percentage rent)
  • Print and distribute annual rental notices to tenants.
  • Daily bank deposit of cash receipts – tenant rent cheques, owner surplus funds & mortgage payments, security deposits, documentation fees, etc
  • Pre-approved Payments (PAP) records maintenance and follow-up as require
  • Handle post-dated rent cheques and EFT payments
  • Posting to JDE and Image Now
  • Maintain appropriate, up to date records (binders, etc.)
  • Sorting, coding & batching of all payables for approval & processing
  • VISA vendor payment system – contact and set up vendors/suppliers/contractors, batching and processing
  • Investigate overdue balances diligently
  • Communicate with accounting staff & vendors/suppliers/contractors as needed
  • Reviewing the property receivables reports weekly
  • Reviewing tenant leases and specific charges, discussing, and corresponding with tenants with outstanding balances and assisting them in bringing their accounts up to date and investigate discrepancies
  • Report to the Property Manager with respect to all accounts receivable matters
  • Preparing collections and/or demand letters where necessary in compliance with lease terms and follow up on further action as instructed by the PM
  • Communicating with Property Accountants on tenant issues as required
  • Review and provide accurate accounts receivable reports regularly as instructed
  • Prepare and provide tenant history/statements of account as required, ensuring accuracy of posted rental charges and payment receipts
  • Provide tenant security deposit balance reports as required
  • Coordinate the following: (1) Yearly budgeted additional rents including percentage rent (2) Recovery and adjustment of prior year’s charges; and (3) New charges relative to Lease Renewals, Lease Amendments, Lease Modifications, etc.
  • Review monthly sales reports and monitor, collect and record percentage rent owing
  • Provide support to the Property Manager in the day-to-day activities for buildings in portfolio
  • Coordinate Property Managers’ monthly operations reports to Clients, review and input the arrears report, make adjustments where necessary and forward to Clients by the due dates each month ensuring timely and accurate reporting
  • Liaise with tenants and follow-up communication for dealing with tenant matters as directed by Property Manager
  • Assist Property Manager with annual budget process for buildings within the portfolio.
  • Maintain and update project utility account lists
  • Miscellaneous correspondence, typing and filing as required by PM
  • Maintain filing for tenants and properties according to standard record keeping procedures on a daily basis.
  • Assist with Reception duties on a periodic basis
  • Embrace and pro-actively support ’s culture of environmental sustainability, and corporate and social responsibility.

Who you are:

  • EducationDiploma or Degree in Accounting, or Finance
  • Previous property management accounting experience an asset
  • Relationship SkillsAbility to communicate effectively, both oral and written; ability to develop

  • Organizational/Multi-Task SkillsAbility to allocate time effectively, work under pressure and
  • manage tight deadlines; ability to handle multiple demands, competing priorities, ability to work at a

  • Computer Skills – intermediate to advance skills in Excel, Word, and other Microsoft Office
  • programs; knowledge of JD Edwards is considered an asset.
