Data Entry Clerk (with the possibility of a 2nd position)

Reports to: Manager, RFL&A Allied Health Team

Position Type: Temporary casual position (variable hours)

Location: In office at 310 Bridge Street with the potential for virtual work and some travel in the Lennox and Addington Area

Start Date: September 21, 2020 – February 19, 2020 (with the possibility of an extension)

Salary: $18.12 – 21.32 per hour

Position Summary

The Data Entry Clerk will work for the Kingston Community Health Centres on behalf of medical clinics within Lennox and Addington County. The Data Entry Clerk will be expected to sort and filter Microsoft Excel spreadsheets to identify and then enter data into Electronic Medical Records. The successful candidate will be expected to validate any data that does not meet exact requirements with patients, clinicians or administrative staff. The successful candidate will be provided with privacy training as the highest standards of privacy and confidentiality of personal health information are expected in this role.

Data Validation

· Utilize Microsoft Excel to filter, sort and organize data to identify where data is duplicated, missing or erroneous

· Work with clinical administrative staff and patients to correct or acquire data

· Work with clinical administrative staff to ensure that data is valid before entering it into an Electronic Medical Record

· Enter data into the Electronic Medical Record

Communication with Staff and Patient and Patient families

· Work with clinical administrative staff and your supervisor to get answers to questions that you have about the data BEFORE you enter the data in the Electronic Medical Record

· Call patients and their families, after getting the approval of clinical administrative staff, to correct or acquire data

· Answer patients and their families questions or redirect questions to the clinical administrative staff

· Understand and explain PHIPA and how patient confidentiality is protected

Organizational Responsibilities

· Complies with all relevant legislation and KCHC policies, including privacy laws

· Supports consistent application and development of KCHC policies and procedures

· Promotes awareness of and participation in KCHC activities

· On occasion, perform other temporary duties as required

Basic Education and Experience Requirements

· Completion of secondary school or equivalent

· 2-3 years of professional experience with Microsoft Excel

· 2-3 years of experience, preferred, in data entry or administrative/clerical work

· 2-3 years of client/customer service experience

· Medical Secretary or Medical Receptionist experience an asset

· EMR experience, particularly Telus’s Practice Solutions a major asset

Knowledge, Skills and Abilities

· Demonstrated commitment to confidentiality

· Excellent attention to detail

· Excellent interpersonal skills

· Basic understanding of databases an asset

Other Requirements

· Available to work some evening hours

· Current and satisfactory Criminal and Vulnerable Persons Check

· Valid drivers license, valid insurance and use of reliable vehicle

· Current First Aid and WHMIS certificates, considered an asset

· French language is an asset
