Graduate Program Assistant Job Opening in Ontario

Purpose:
Responsible for the daily administrative operation of the graduate program in Law. This includes answering inquiries concerning program policies and procedures, maintaining student and program files, supporting various graduate committees and processes (admissions, registration, scholarship, grades, contracts, meetings, oral exams, convocation, publications, reports and website).
Education:
College diploma in Business or Office Administration or an equivalent of 2 years recent experience (defined as within the last three years) working at and performing the same or similar tasks. This education equivalency is in addition to the experiential requirements outlined below.
Experience:
3 years recent related administrative experience in an academic environment, including student academic advising, scholarship coordination support, experience working with graduate students and scheduling administrative processes (registration/enrolment, oral exams, supervisory committees, convocation), providing service to students in an on-demand customer-service oriented environment, preparing materials. and responding to in-person, email, and telephone enquiries. Knowledge of graduate program degree requirements, FGS regulations, policies and procedures, CUPE 3903 Collective Agreements, and awards and scholarships would be an asset.
Skills:
Competency using the following software: Windows, intermediate MS Word, advanced MS Excel, and experience working with SIS or similar online databases, working knowledge of ARMS and CUPE Hiring system. Knowledge of academic graduate studies policies and procedures. Understanding of graduate student funding policies. Dealing courteously and effectively with people in a professional manner is essential, including tact and diplomacy. Ability to maintain confidentiality. This position also requires excellent communication skills (both written and verbal), including the ability to obtain and provide information in a clear and concise manner. Impeccable attention to detail and accuracy are essential. Excellent organizational skills (including ability to set and meet competing deadlines) and an ability to work independently and ability to work as an effective member of a team. Must be punctual and reliable.

Please note: This position requires the candidate to produce a verification of degree(s), credential(s) or equivalencies from accredited institutions and/or international equivalents at the time of interview.

Hours of work: Monday to Friday 8:30 am4:30 pm.

Rare overtime required during peak periods.

Peak periods for this position: Last two weeks of August, September, January, May (during Orientation, Convocation and Scholarship deadlines).

Vacation restriction: During peak periods.
