Administrative Clerk Job Openings in London

Administrative Clerk Status: Regular, Full time Location: London, Ontario Job Description This is an important multi-function role in a Business Centre. Reporting to the Purchasing & Administration Manager, the Administrative Clerk is responsible for certain administrative tasks. The incumbent should be highly flexible and adaptable with strong organization and time management skills in order to efficiently complete tasks in a timely manner. ‍
KEY ACCOUNTABILITIES: (20%) Bills all customer invoices in a timely and accurate manner; (20%) Executes our empty reel management processes in a timely and accurate manner; (20%) Answers all inbound phone calls from customers and suppliers in a professional and timely manner, and redirects calls to appropriate departments; (20%) Account payables: Processes vendor invoices for payment in our ERP system and processes all freight & miscellaneous company expenses in Workday in a timely and accurate manner; (15%) Freight variance (EMCO): Reviews and identifies discrepancies with EMCO fright reports, communicates and resolves all variances directly with EMCO; (5%) Miscellaneous administrative tasks
MAIN RESPONSABILITIES:

  • Ensure all job functions are performed in accordance to the Guillevin Standard Practice Instruction (SPI) Manual;
  • Primary lead in ensuring all inbound calls to our switchboard are answered and directed to the correct person;
  • Primary lead on billing of customer invoices from London orders that have shipped out. Ensure that billings are done in a timely and accurate manner;
  • Processing all vendor invoices for payment in our ERP system;
  • Process all approved miscellaneous company expenses and freight invoices on Workday;
  • Handling of all London incoming/ outgoing mail;
  • Ordering of all London office supplies;
  • Generate daily Moneris report and send it to our credit department team;
  • Assisting Sales team – cash sales/ Moneris transactions, any inquiry about in progress/ currently billed/ billed sales orders (price adjustments, credit and rebills, etc.);
  • In collaboration with sales, logistics and receiving departments, ensuring that all customer reel returns are processed in our ERP system for customers as they are received;
  • In collaboration with receiving department and vendors, ensuring that all vendor reels are processed as they are shipped;
  • Reviewing the Emco freight reports and sending of any required corrections to Emco;
  • Month end reporting on an excel sheet any freight that needs to be charged or owed back to the salesperson based on the Emco freight reports;
  • Completes all tasks in an accurate and timely manner;
  • Take initiatives and assists co-workers when needed (backing up hours for co-workers on vacation);
  • Works well with team members/ respectful and courteous to others;
  • Ensure work to be completed is prioritized;
  • Participate in all department team meetings as required;
  • Performs any other duties as required by Management;

QUALIFICATIONS:
  • Grade 12 minimum completed;
  • Ideally 1-2 years of related experience;
  • Strong communication and people skills, initiative;
  • Good knowledge of Microsoft Office (Word, Excel, OutlookK);
  • Good English communication skills written and spoken;
  • Strong ability and desire to develop and grow skills.
