Medical Office Assistant Job Openings in Calgary


The MOA's at Home Care Assistance are primarily responsible for ensuring the smooth ongoing scheduling of care for our clients. Their core responsibilities are in the onboarding, training and scheduling. MOA's are also responsible for “covering” client-facing functions when the Client Care Manager is unavailable (e.g., a prospect call is received while the Client Care Manager is conducting an assessment). In addition, the MOA will participate in office projects, special campaigns, and network marketing efforts. MOA's are expected to manage 60-90 active clients at a time. MOA's will assist the Employee Care Manager wherever necessary.

You will report to the Employee Care Manager.

Essential Duties and Responsibilities:
1. Caregiver Hiring and Training:
a. Engaged with applicants who have been invited to attend Caregiver Orientation
i. Provide new hires with caregiver hire packet including the caregiver employment agreement, non-solicit agreement, provincial employment forms and the employee handbook which should outline expectations, prohibited conduct, workplace safety rules, smoking, drug and alcohol policy, back safety, and vacation/sick leave/health insurance policy.
b. Collect relevant caregiver information including Working Availability, Special Skills, Interests, and a Digital Photo
c. Scan all caregiver documents and upload them into ClearCare. Maintain paper copies of all documents in a file folder labelled with the caregiver’s name

2. Caregiver Staffing:
a. Maintain Caregiver Database, including their work schedules, their seniority with HCA, and their performance history (e.g., incident reports, client satisfaction comments, missed days etc.)
b. Recommend caregivers to cases based on matching schedules, personality fit with clients, skill fit with clients (e.g., drivers, HCAs, etc), and prior caregiver performance

3. Other Territory Support:
a. MOA's are required to act as the primary backup for Client Care Managers when they are unavailable. In this capacity, they may be required to take prospect calls, update the prospect list, and deal with emergency client/caregiver situations

Assisting Employee Care Manager where needed.

4. Office Operations:
a. Accurate caregiver time reporting and schedules
i. MOA's are responsible for ensuring that all active schedules are covered and that all caregivers are checking in and out of ClearCare on a daily basis. Weekend schedules will be confirmed on Mondays.
b. HR – MOA's are responsible for office compliance with all caregiver HR policies including hire packets, regular reviews, incident reporting, and disciplinary actions
c. Special Campaigns and Projects – MOA's are expected to contribute to special campaigns and projects within the office or territory including caregiver recognition, client appreciation, local marketing, etc.
d. Caregiver Roster Maintenance – MOA's are responsible for maintaining an active roster of caregivers at all times

5. Other Duties:

Knowledge and Skill Requirements:

  • Proficient in Clear Care software or equivalent is preferred
  • High school diploma or equivalent
  • Previous experience in recruitment or staffing preferred
  • Ability to work in a team environment
  • Excellent written and verbal communication skills
  • PC literacy required
  • Must have experience with scheduling

The schedule will be:

  • Monday 7:00 am- 3:00 pm
  • Thursday 7:00 am-3:00 pm
  • Friday 7:00 am- 3:00 pm
  • Saturday 8:00 am- 3:30 pm
  • Sunday 9:00 am- 3:00 pm

Full-Time hours

Job Type: Full-time

Salary: $17.00-$19.00 per hour
