We are looking for a talented, dynamic and ambitious Executive Assistant to join our team.

JOB OVERVIEW:

The Executive Assistant role provides a broad range of confidential administrative assistance to the Chief Human Resources Officer and other Executives. The role plays a critical role in the day-to-day logistical and administrative success. This position requires strong judgment, professionalism, prioritization and confidentiality in dealing with high profile situations that require tact and diplomacy. The successful candidate will demonstrate a professional demeanor displaying self-confidence, decorum, and diplomacy along with superior organizational skills and a creative, innovative problem-solving ability.

ROLES AND RESONSIBILITIES:

  • Calendar Management: manage schedules, prioritizing and filtering to optimize time use; proactively manage calendar conflicts and assist development team with preparation of development schedules, especially as they relate to the planning approvals and construction permit process.
  • Inbox Management: flagging and prioritizing based on urgency/subject matter/other criteria internally
  • Coordinate meetings: book rooms, prepare agenda and minutes for internal and external meetings, tracking action items, preparing and tracking project schedules.
  • Human Resources project support - Recruitment, Compensation & Benefits, Employee Relations, Training & Development, Policies and Procedures.
  • Coordinate travel: make appropriate arrangements for travel and other appointments
  • Manage expenses, complete expense reports and reconciliations within expense report deadlines.
  • Day-to-day technical/office support: routing and follow-through of support requests (facilities, IT etc.).
  • Work with the leadership team and assist with general administration as required.

  • Prioritize and manage own workflow to ensure quality and efficiency (i.e., meet deadlines; be flexible in adjusting to changing work priorities).
  • Strong computer skills including Microsoft Word, Excel, Project, PowerPoint and Outlook.

QUALIFICATIONS AND EDUCATION

  • At least 5 years of experience as an Executive Assistant.
  • Prior Human Resources support experience would be a plus.
  • Demonstrated ability to work in a team environment where flexibility, keeping others informed and anticipating needs is essential.
  • Able to maintain a high level of confidentiality to sensitive information and address situations in a professional manner.
  • Flexibility to work overtime if necessary to meet deadlines.
  • Flexibility to be contacted after hours or on weekends if necessary for any urgent matters that may arise.

Job Types: Full-time, Permanent

Salary: $50,000.00-$84,675.00 per year
