Mir Centre Assistant, On-Call

Reporting to the Mir Chair, the Mir Centre Assistant is responsible for providing administrative assistance to the Mir Centre for Peace. The position includes assisting with project work, coordinating and promoting community events including the Mir Lecture Series, and assisting with the overall governance of the Mir Centre in accordance with the College’s mission, values, goals and policies

Main Duties and Responsibilities

Provides administrative support to the Mir Centre by:

  • Responding to inquiries and requests from external and internal stakeholders
  • Supporting meetings of the Mir Advisory Council and Working Circles by issuing invitations, preparing agendas and minutes, booking rooms, arranging for refreshments, and ensuring IT capabilities as required
  • Contributing to the Mir Centre’s social media and website content
  • Supporting work-study student(s) and volunteers as needed
  • Assisting with budget tracking and preparation of annual reports
  • Assisting with maintaining materials and supplies required at Mir Centre
  • Assisting with development of “Friends of the Mir Centre” volunteer group

Provides assistance in the coordination and execution of Mir Centre events by:

  • Determining speaker availability and fees (or, in the case of films, previewing for suitability), liaising with guest speakers, issuing invitations, arranging travel and accommodations, arranging ticket sales, ordering books, arranging transportation for guest speakers, and fulfilling other hosting responsibilities as determined by service contracts with speakers
  • Working with Event Services to secure venue, arrange access
  • Ensuring proper welcoming, hosting (including arranging for an Indigenous welcome and/or prayer), and support for Indigenous Elders attending events
  • Completing purchase requisitions, managing invoices, and facilitating other payments and reimbursements
  • Reconciling ticket sales, cash floats, deposits, receipts etc.
  • Working with the Mir Chair and Marketing department to assist with the development related marketing strategies and materials, ensuring wide distribution and media coverage
  • Working with the IT department to ensure technological requirements are met

Skills, Knowledge and Abilities

  • Demonstrated extensive knowledge of the Mir Centre and its goals and objectives
  • Demonstrated proficiency in event planning
  • Proficiency with MS Office Suite
  • Successful track record of community outreach and involvement
  • Excellent problem solving and conflict resolution skills
  • Excellent interpersonal and communication skills, both written and verbal
  • Excellent organizational skills, attention to detail and ability to set priorities when encountering conflicting demands
  • Capacity for innovation, creativity, and collaboration; a proven team player
  • Ability to work independently

Education and Experience

  • A 2-year diploma in an area related to peace studies, conflict resolution, environmental studies, women’s studies, Indigenous studies, or ethnic relations
  • Minimum 2 years’ experience in not-for-profit administration, event planning and/or project management
  • An equivalent combination of education and experience may be considered.

This is an on-call position commencing approximately November 30, 2020. The salary will be Pay Grade 8 $28.03 per hour (subject to JE review) in accordance with the PPWC Collective Agreement.
